What is an AI employee?

An AI employee is a software agent scoped to a job role rather than to a single feature. Instead of a tool a person operates, it is given a repeating responsibility — handle inbound RFQs, run outbound follow-ups, keep customer records current — and works through it on the same systems a colleague would use. The practical pattern is intake, draft, approve. Intake: the agent picks up work from a real queue such as an inbox, a form or an ERP table. Draft: it does the reading, matching and preparation, and produces a proposed output as a real record. Approve: a person reviews and releases it. The term describes scope and accountability, not autonomy and not general intelligence. An AI employee has a defined remit, a supervisor, permissions and an audit trail, and it hands ambiguous cases back to a person rather than guessing.

Intake

Work arrives where it already arrives today — an inbox, a web form, a queue of records. An AI employee that requires humans to feed it a prompt each time has not removed the work; it has relocated it.

Draft

The agent produces the output as a record in the system of record, not as chat text. A drafted quote is attached to a customer and carries a cost sheet. A drafted follow-up is attached to a lead and a sequence step.

Approve

A person accepts, edits or rejects. This is a gate, not a notification — see human-in-the-loop AI. Approval is a permission held by a specific role.
